Media Partner Resources

Depending on your media trade agreement, you may receive the following services:

Pub Bin Distribution
A limited number of pub bins are available. Media partners are responsible for the shipment (or personal delivery) of their publications to the Grand Hyatt Washington hotel. You must use the applicable shipping label for all shipments. Further shipping details are available below.

Media partners are also responsible for retrieving their shipments from the hotel and stocking the designated pub bin during the show.

Table Top Exhibit Space
If you have received a table top exhibit space, please note that this space consists of one 6' draped table and two chairs in the foyer of the Independence Ballroom. Exhibitors may bring table top pop-ups, as long as they fit on the table. Exhibitors may also bring a banner, but it must fit on the front of your table. Nothing may be affixed to the walls or placed behind your table. Please see below for an approved example.


Each exhibitor may provide one easel to display an ad panels OR one pop-up banner to be placed to one side of the table. If you will need an easel during the show to display signage, please contact Swank Audio Visual. Easels will be ordered through Swank and the cost is $25 for the duration of the show.




Security
At the conclusion of each day, the ballroom will be locked. However we strongly urge you to store valuable items (laptops, etc.) in your room at night.

Shipping
To ensure prompt delivery, all materials should use the provided shipping labels, exhibitor label and pub bin label. Packages should arrive between Monday, September 27 and Tuesday, September 28. A $5 per box per day fee will be assessed for each day that a shipment remains in the hotel shipment area three days before or after the event.

Hotel Incoming Package Handling Fees

  • $7 per envelope
  • $10 per package
  • $175 per pallet

(Items that are palletized or are of extensive weight must be delivered on a truck equipped with a lift gate in order to have access to the freight elevator. The freight elevator has a maximum capacity of 20,000 pounds. It is 9' x 17 1/2' x 10' (please note the elevator door opening is 7 1/2' high).

Hotel Outgoing Package Handling
All sponsors and exhibitors are responsible for packing up and shipping their materials. Please bring your own return labels. You may arrange to ship via DHL through the hotel ($12 per item handling fee applies). If you would prefer to use a different carrier, please make arrangements through the Concierge Desk.
